The short answer
A CNPJ check establishes recorded identity and status. Corporate filings help test authority; ownership research identifies relevant relationships; independent operational evidence tests the proposed role. None substitutes for the others.
Read the CNPJ record field by field.
Ask for the exact legal name and complete CNPJ identifier of the entity that would sign. Open the Federal Revenue Service’s official consultation route yourself. Save the result and consultation date; do not make a supplier’s screenshot your only record. The service provides registration information and routes to available shareholder and administrator data, known as QSA. Some consultation paths require a gov.br account.
Use the Portuguese field names when requesting clarification. An English trading name may be absent from the record without indicating wrongdoing. Conversely, a familiar brand can belong to a different legal entity. Check the establishment identified in the proposal rather than assuming that all companies or branches in a group are interchangeable.

Request the corporate act that answers your question.
For a company registered with a Junta Comercial, use the competent state registry, not a similarly named commercial search website. A current summary certificate can help reconcile registered particulars. A certified full-text copy of the relevant filed act — commonly requested as a certidão de inteiro teor — is more useful when you need the actual wording of an appointment, amendment or corporate authorization. Availability, fees and access differ between registries.
Ask for the constitutive document and relevant amendments or consolidated version, plus the appointment or resolution relied on by the signatory. Identify the filing and effective dates. A current director list cannot establish who had authority when a two-year-old document was signed. Entities registered under another regime require the appropriate registry instead.
Keep recorded ownership separate from inferred control.
Trace a material corporate shareholder to its own records. Keep a relationship log with the two entities, type of link, source, date and unresolved point. Mark a shareholding as recorded, a principal’s response as confirmed and a shared address as an indicator. Do not draw all three as if they established the same relationship.
Ownership can also affect sanctions analysis. OFAC’s 50 Percent Rule is one reason a name-screening result alone is insufficient: its official guidance explains circumstances in which ownership by blocked persons affects an unlisted entity. This is a US framework, not a universal rule; applicable regimes and legal consequences need compliance and legal assessment.
Test one operational claim at a time.
Turn “we are an established producer” into checkable propositions: this entity operates this facility, can supply this product and controls this allocation during this period. Request the facility operator’s identity and the commercial link to the seller. A genuine address or an old shipment is context, not evidence of current availability.
For references, record who selected the referee and verify their relationship through an independently established channel before contact. A desk review cannot establish physical inventory, product quality or capacity by implication. Where those facts drive the decision, commission a defined inspection or technical assessment rather than allowing the corporate report to stand in for one.
End with a finding the decision-maker can use.
Use separate findings for identity, authority, ownership and the transaction claim. Give each an evidence date and a next action. “No adverse information identified in the sources searched” is a bounded search result; “safe company” is not. Revisit the affected finding if the contracting entity or signatory changes.
