How to Verify a Brazilian Supplier Before Sending Money

Before a deposit or advance, establish who is asking to be paid, what they can commit and which evidence connects them to the goods. A registered supplier and a plausible offer are not enough. Use the sequence below to organize a review around the actual payment decision.

Before release, reconcile four things: the contracting seller, the person authorizing the deal, the seller’s support for the specific supply claim and the recipient’s role in the payment.

Put the proposed exposure on one page.

Record the amount and currency requested, what the payment is for, the beneficiary, the release deadline and the event said to justify payment. Distinguish a reservation fee, production deposit and payment against a shipment. They rely on different facts. If the seller says a deposit is needed to secure supply, do not report that supply as already reserved.

Create a document register before opening more searches: offer, draft contract, authority document, supply evidence and payment instruction, each with its sender, date and version. Keep sensitive account details in the approved channel. A changed beneficiary or seller must remain visible rather than disappearing into the newest PDF.

Identify the seller and every party carrying the promise.

Obtain the seller’s legal name, CNPJ or foreign identifier and registration jurisdiction. Independently check the Brazilian entity through the official CNPJ service. Compare the contract, invoice and correspondence against that identity, then establish the authority of the actual signatory. A trade name or email signature does not settle either question.

If the seller is not the producer, identify the producer and exporter separately. Ask whether the seller is buying and reselling, acting as agent or only introducing the parties. A legitimate trading model does not need to look like a direct factory sale; it does need evidence for the relationships on which the promise depends.

Match each supply claim to an independent check.

Request evidence tied to the offered product, quantity and delivery period. A general producer letter may support a relationship without committing any goods. For existing stock, identify the custodian and the lot. For future production, identify the arrangement that would make the proposed volume available; an inspection of today’s warehouse cannot prove a future allocation.

How to assess proof-of-product material

Resolve the recipient before authorizing payment.

Compare the recipient’s legal name with the contractual seller. Where they differ, ask for the collection, assignment or other contractual basis and the authority behind it. Affiliation alone does not explain entitlement to this receivable. Counsel and the bank should assess the arrangement, including whether payment to that party would discharge the intended obligation.

For a change request, use a previously established or independently verified contact, never only the number supplied in the message announcing the change. Record who confirmed it and the transaction reference. Split preparation and approval according to your organization’s controls. Public company research cannot authenticate account ownership or private bank balances.

Escalate the gap, not a vague “red flag”.

Useful escalation language identifies a mismatch and a consequence: “The invoice names a different seller from the agreement; procurement must establish which entity assumes the obligation.” Pressure, unfamiliar document formats and short company histories can justify questions, but none alone proves misconduct. Specify what evidence would resolve the question.

If verification cannot finish by the requested release date, tell the authorized decision-maker what would still be assumed. A payment policy can require a hold pending that review; an investigator should not make an unqualified commercial or banking recommendation. Nor should a professional-looking instrument be allowed to replace unresolved factual diligence.

Use a release record that survives handover.

Keep the record alongside the payment approval, not in a separate folder that the approver never sees. It should identify the exact proposal reviewed, the confirmations received and the unresolved items accepted or escalated by the appropriate owner. Update only the affected checks when the facts change, rather than assuming that an earlier supplier review covers a new deal.
