The short answer
Match each item to a specific fact, then test provenance, identifiers and currency. Product existence, quality, title, availability and seller authority require separate support.
Write the proposition before opening the evidence pack.
Replace “verify the product” with a sentence containing the seller, product or lot, quantity, location and relevant date or delivery period. Distinguish existing stock from planned production. A stock inspection today cannot establish that a future production schedule has been contractually allocated to the seller.
Ask who made the claim and what decision relies on it. If a buyer will issue an instrument before receiving shipment documents, those later documents cannot independently support the earlier claim. A producer’s identity or registration may be straightforward to establish while its relationship to the offer remains unverified.
Use an evidence matrix instead of a “POP approved” label.
The table describes potential evidential value, not automatic acceptance criteria. An item must first be connected to a competent issuer and the actual goods. More items do not necessarily mean more independent evidence: photos, certificates and packing lists can all have been forwarded from the same unverified source.

Test the issuer, not the appearance.
Record who sent the file and who allegedly created it. Preserve the original rather than only a screenshot. Use independently established issuer contacts or official consultation routes where available and permitted. Confirm the reference, subject, issue date and scope; a general response that the issuer uses that format is not confirmation of this document.
For Brazilian animal-product sanitary certificates, MAPA provides an official route to certificate consultation. A matching certificate still needs to concern the intended consignment and destination. If the consultation is unavailable, record the access limitation and seek an appropriate authority response; do not interpret a portal problem as proof of invalidity.
Connect the sample, lot, custodian and seller.
Cross-reference lot or batch identifiers, quantities and units, packaging, location and the party for whom the goods are held. For images, ask how the photographed goods connect to those identifiers. Metadata is a lead, not an authenticity verdict: normal file handling can remove it, while its presence does not establish the seller’s rights.
For an inspection, define the question in advance. Who selects the goods? How is the sample tied to the larger lot? What quantity and condition are observed, and at what time? Physical verification and legal title review may both be necessary, but one cannot be silently represented as the other. Restrictions on access should be part of the report.
Targeted lot-confirmation request
For [transaction reference], please identify the goods by [lot / batch / warehouse reference], quantity and unit, location, observation date and the party for whom they are held. State your role and the records supporting the response. Please distinguish physical presence from allocation, disposal authority and any title conclusion you are not competent or authorized to make.
Do not let transport evidence answer a different question.
Compare a shipment reference with the actual buyer, seller, goods and period under review. An authentic bill from an earlier sale can show a past event without supporting today’s allocation. A booking confirmation concerns a planned movement, not necessarily cargo already loaded. Verify the relevant event with the appropriate issuer where lawful and feasible.
Incoterms® rules address delivery tasks, costs and risks, while documentary-credit rules address their own document examination framework. Neither an Incoterms label nor a bank’s documentary process is an independent physical verification of goods. Have the relevant professional interpret the record and keep the investigative finding tied to what was actually established.
Report the supported facts and the missing rights.
State each conclusion separately: issuer corroborated, product identity partly supported, observed quantity dated, allocation unconfirmed or title outside scope. This gives the client a useful next action rather than a binary label that hides the decisive uncertainty. Include when the evidence would cease to answer the question, such as after a transfer, substitution or change in delivery period.
